Job Overview

We are seeking a highly organized and proactive Kitchen Secretary to act as the vital link between our sales, operations, and kitchen teams. This role ensures seamless coordination and follow-up, guaranteeing that client orders are accurately processed and delivered on time. The ideal candidate will have excellent communication skills, attention to detail, and the ability to work under pressure in a fast-paced environment.

Key Responsibilities

1. Order Management:

  • o Receive and review orders from the sales team for accuracy and completeness.
  • o Communicate detailed order requirements to the kitchen team and follow up on execution.

2. Interdepartmental Coordination:

  • o Serve as the liaison between sales, kitchen, and operations teams.
  • o Ensure smooth communication and resolve discrepancies or misunderstandings.

3. Quality Assurance:

  • o Monitor kitchen progress to ensure orders are prepared as specified.
  • o Confirm that completed orders meet quality and presentation standards.

4. Delivery Coordination:

  • o Work with the operations team to ensure timely dispatch and delivery of orders.
  • o Verify that all items are properly packed and labeled before dispatch.

5. Inventory and Supplies Management:

  • o Check the availability of inventory for upcoming orders and notify procurement of shortages.
  • o Track inventory usage and assist in maintaining an organized supply chain.

6. Documentation and Reporting:

  • o Maintain accurate records of orders, timelines, and issues.
  • o Generate daily and weekly reports to identify patterns and suggest process improvements.

7. Issue Resolution:

  • o Address and resolve any issues that arise between sales, kitchen, and operations.
  • o Escalate unresolved matters to management as needed.

Qualifications

  • • Experience: Minimum of 1 year in a similar role, preferably in the food service or hospitality industry.
  • • Language Skills: Fluency in reading, writing, and speaking both Arabic and English.
  • • Strong organizational and multitasking skills.
  • • Excellent communication skills to work with diverse teams.
  • • Ability to work under pressure and meet deadlines.
  • • Familiarity with food service operations or hospitality is a plus.
  • • Proficiency in basic computer skills (e.g., MS Office, order management systems).
